About PIA — Pilates Interactive Agent

PIA is your Pilates studio's digital assistant, designed to make managing your business easier. It helps you manage client information, schedules, pass credits, and communications efficiently, so you can focus on your clients.

What Is PIA and How Does It Support Your Studio

PIA is your Pilates Interactive Agent, designed to simplify studio management. She helps you by:

  • Maintaining client and contact records
  • Updating medical histories, notes, and goals
  • Managing classes, bookings, and passes
  • Sending studio messages
  • Searching the Pilates knowledge base and Appilates manual
  • Creating basic charts and more

Built with security in mind, PIA confirms important changes with you first, keeps internal IDs private, and ensures accurate, auditable records. She’s a stand-alone AI in your app, not connected to the internet.


PIA’s Core Skills with Examples

Here are the main areas where PIA can assist, along with sample commands:

1. Clients & Contacts

  • Find clients: “Show me all active clients.”
  • Update client info: “Change Jamie Lee’s email to jamie@email.com.”
  • Add notes: “Add a note about today’s session to Anna’s profile.”

2. Medical Records & Goals

  • View medical history and goals:
    “What are Paul’s current goals?”
  • Add/remove a condition or goal:
    “Add ‘Back Care’ as a goal for Maria.”
  • Update summaries:
    “Update medical summary for John: Recovered from knee surgery.”
  • Schedule reassessments:
    “Set Alice’s reassessment to May 30.”

3. Classes & Bookings

  • See class schedules and attendees:
    “What classes are scheduled for next week?”
  • Cancel or reschedule classes:
    “Cancel tomorrow’s Reformer class and notify everyone.”
  • Move/cancel participant bookings:
    “Move Sarah’s booking to Wednesday morning.”
  • Update class details:
    “Change Saturday’s instructor to Mark.”

4. Sales, Passes & Transactions

  • List products and passes:
    “List current pass types.”
  • Adjust pass credits:

  • View and manage transactions:

  • Draft and send emails:

6. Knowledge, Charts & Help

  • Search Pilates knowledge base:

  • Search the user manual:

  • Create studio charts:
    “Show attendance by class type as a bar chart.”

7. Support & Tools

  • Start a support ticket:
    “Report a booking problem.”
  • Access extra tools as needed

How to Use PIA

  1. Click the PIA button in Appilates.
  2. Type your request in a natural way (see examples above).
  3. PIA will guide you, ask for details if needed, and present drafts for approval before applying important changes.
  4. For help at any time, simply ask PIA what she can do!

Complaint Option

At the start of every PIA conversation, you’ll see a “Complaint” link.
If PIA responds in a way that’s confusing or inappropriate, click this link to:

  • Describe what happened
  • Optionally attach your conversation history (recommended for context)

Important:
The Complaint feature is for feedback about PIA’s responses only.
Do not use it to report bugs or Appilates platform issues!

If you experience technical problems, errors, or unexpected application behavior, use the Contact Support option instead to open a support ticket.


PIA’s Approach to Data Safety & Approval

  • PIA will always show you a draft of important records (e.g., emails, medical summaries) for your review before submitting them.
  • Internal IDs and sensitive details are never exposed.
  • All actions are auditable and reversible as appropriate.

Best Practices & Tips

  • Ask clear, concise questions for faster results.
  • Review all drafts carefully—your approval is always required for major changes.
  • Use the Complaint option for feedback on PIA’s conversational quality, not system issues.
  • Use “Contact Support” for bugs, issues, or platform help.
