Client Settings

Manage your studio’s client (contacts) configuration, enrolment, and data options in Appilates.

Overview

The Client Settings section (found under Settings > Studio Configuration, under the “Contacts” or “Clients” group) centralizes options for how your studio manages client data, enrolment, communications, and platform access.


1. Manage Client Enrolment

Control how new clients join your studio’s database and customize their onboarding experience.

Online Self-Registration

  • Allow new customers to self-register online:
    Enable or disable whether visitors can register as clients through your online forms.
  • Registration options:
    • Define the enrolment type:
      • As “Active” client
      • As “Passive” client
    • Select which data fields are required for enrolment:
      • Full Name
      • Date of Birth
      • Mobile Number
      • Emergency Contact Details
      • (and others, as configured)
  • Customize Welcome Message:
    Enter a personalized welcome email or message template, sent automatically to new clients upon registration.

2. Presets for New Contacts

Automate how new client records are created.

  • Default Field Values:
    • Set default values for new contacts, such as default dial codes or country.
  • Automatic Tagging:
    • Set tags that are applied to new client records for easier filtering and group management.

3. Invite Clients

Easily send invitations to clients to connect with your studio on Appilates.

  • Use the Invite Wizard to:
    • Select one or more clients from your database.
    • Send customized invitations for clients to join or activate their Appilates accounts.

4. Import & Export

Manage your client data in bulk.

  • Import Clients:
    Upload CSV files to add or update multiple client records at once.
    • Supported CSV formats and required/optional fields are explained in the import tool.
  • Export Clients:
    Download your client list as a CSV for backup or analysis.
